Instructions for Oral Presenters
Presentation Time
- Total Allotted Time: 25 minutes (20 minutes for speaking and 5 minutes for questions and answers).
Presentation System & File Preparation
- Venue PC Specifications: Windows 11 Pro OS with MS PowerPoint 2024.
- PowerPoint 2024 Compatibility: All slides will be projected using MS PowerPoint 2024 on Windows 11. Please ensure your presentation file (.pptx) is created and tested to operate seamlessly in this specific environment.
- Presentation Setup: All oral presentations must be given using the venue-provided PC. (Personal laptops cannot be connected to the projectors in the session rooms).
- Media: Please bring your presentation file on a USB 2.0 flash drive (Type-A).
- Aspect Ratio: 16:9 (Widescreen).
File Naming Convention
Please name your presentation file using your Paper ID and Last Name as follows:
- Format: (Paper ID)_(Presenter's Last Name).pptx
- Example: C000016_Tanaka.pptx or C000021_Smith.pptx
Guidelines for Slide Creation & Standard Fonts
To prevent layout disruption, missing fonts, or video playback issues in MS PowerPoint 2024 on Windows 11, please strictly follow these guidelines:

Recommended Standard Fonts
Please use Standard English Fonts available on both Windows and Macintosh OS. These specific fonts are recommended as the safest choices to guarantee full layout compatibility across different OS and language environments.
Standard English Fonts: Arial, Calibri, Times New Roman
Standard Japanese Fonts (If you need to include Japanese text): Yu Gothic, Yu Mincho
- Font Embedding: If you use non-standard fonts, please embed them in your PowerPoint file to prevent font substitution:
- Embedded Videos: Ensure videos are embedded in standard formats (e.g., MP4 with H.264 codec) that play natively in PowerPoint 2024.
File Upload & Preview Procedure
To ensure smooth session management, presenters are requested to follow the steps below:

Preview at Speaker Ready Room:
Please visit the Speaker Ready Room (Meeting Room 1) at least 60 minutes prior to your session to preview and verify that your file displays correctly.
Location: Meeting Room 1 (1st Floor, Exhibition Building)
Operating Hours: 08:30 – 17:00 (Nov 2–4, 2026)

File Transfer to Session Room PC:
During the break immediately preceding your scheduled session, please go to your presentation room and copy/save your presentation file from your USB 2.0 flash drive onto the session room’s venue PC with the assistance of the room staff.
Important Notice for Macintosh Users
If you create your presentation on a Macintosh computer, please verify in advance that font substitutions, layout/line breaks, and animations display as intended in MS PowerPoint 2024 on Windows.
